studio policies & client info guide

We’re thrilled to welcome you to the Pose A Paw experience! The following policies ensure a smooth and enjoyable session for you, your pet(s), and our team. These apply to all portrait bookings and are considered accepted upon payment of your session fee.

SESSION PREPARATION

  • Pets should be well-groomed, clean, and brushed. Nail trims are encouraged.

  • Avoid scheduling grooming on the same day to reduce stress or fluffiness.

  • Please ensure pets are in good health. Let us know if rescheduling is necessary due to illness.

  • Inform the studio in advance of any behavioral issues, health risks, or special needs you or your pet may have.

  • The session will proceed based on the pet’s cooperation. While we guide and assist, cooperation is not guaranteed.

ARRIVAL & TIMING

  • Please arrive on time. While there is no strict time limit, arriving late may impact the natural flow and joy of the session.

  • We’ll guide everything for a smooth, relaxed experience.

  • Sessions are held in a distraction-free environment. Please limit attendance to the photographed pet(s), pet parents, and one adult handler if needed.

PAYMENT & ORDERING

  • Session Fee: $295 non-refundable, due at booking. If your session was gifted or part of a promotion, this fee has already been covered.

  • The session fee includes time, talent, and preparation only. No portraits, prints, or digital photographs are included unless specified in writing.

  • Payment for all artwork is due in full at the Premiere.

  • All decision-makers must attend the Premiere. A $100 fee applies to reschedule the appointment.

  • Orders are finalized on the day of the Premiere. Due to the custom nature of the work, once approved and paid, orders cannot be changed, altered, or refunded.

  • Accepted forms of payment: debit/credit card, bank transfer, Zelle, and cash. No checks.

CREATION & DELIVERY

  • Please allow approximately 4 weeks for your artwork to be completed. Some orders may take longer.

  • Your portraits are an investment and an heirloom that should not be rushed.

  • You will be notified via phone or email when your order is ready for pickup, delivery, or installation.

DIGITAL PHOTOS DELIVERY & ARCHIVING

  • Retouched digital negatives and social sharing portraits will be delivered at the Premiere unless otherwise arranged.

  • All photographs shown are hand-selected and artistically retouched by Mia Len. Raw (unedited) files are never provided.

  • Unordered photographs are stored in a studio archive for 60 days. During this time, additional orders can be placed. After 60 days, a retrieval or archive access fee may apply.

  • Ordered photographs are kept in the studio for one year and may be accessed at no additional charge. After one year, all files are permanently and securely deleted.

  • Additional retouching requested after the Premiere will incur additional fees.

DIGITAL FILES & PRINT RIGHTS

  • Purchased digital photographs include unlimited personal-use rights: printing, gifting, and sharing with friends and family.

  • Commercial, promotional, or editorial use is not permitted without written consent.

  • Files may not be altered, filtered, cropped, or modified in any way.

  • Quality is not guaranteed for prints made outside of the studio’s professional lab.

  • Most Pose A Paw clients invest in digital photographs. In most cases, you will receive your digital files at the Premiere. Due to the digital nature of this content, once files are removed from the studio, the sale is considered final and non-refundable.

The Copyright Act protects photographers by granting the exclusive right to reproduce their work. Copying, scanning, downloading, or printing photographs without permission is a violation of Federal Law and is subject to civil and criminal penalties. Reproduction outside of the studio may reduce image quality and compromise the studio’s artistic standards.

STUDIO ENVIRONMENT & SAFETY

  • Personal photography or video recording, including with phones, is not allowed during the session.

  • We pour heart and skill into crafting your portraits artistically and respectfully ask you not to photograph the sets, lighting, or behind-the-scenes process during your session.

  • Clients are responsible for their pets’ behavior and must maintain control at all times.

  • Any damage to the studio, furniture, or equipment caused by pets or accompanying guests is the client’s responsibility.

VIDEO RECORDING & FUTURE MEMENTO PRODUCTS

To enhance the experience and maintain a record of the creative process, Pose A Paw may record portions of your session or the Meetup for internal reference and training purposes. On occasion, short video clips may also be captured for studio marketing purposes - these will never include identifiable faces, voices, or names without your express written permission. In the future, clients may have the option to add a short memento video as part of their portrait experience.

LIABILITY

You agree to voluntarily participate and assume full responsibility for yourself, your pets, and your guests during the session.

While every effort is made to provide a safe and enjoyable environment, accidental injuries or property damage may occur. By participating, you acknowledge and accept all inherent risks and agree to hold Pose A Paw, Mia Len, and any studio member harmless from liability. 

CANCELLATION & RESCHEDULING

  • 72 hours’ notice is required to reschedule without penalty.

  • No-shows or cancellations within 72 hours may forfeit the session fee.

  • One complimentary reschedule is allowed. Additional changes may incur a $100 rescheduling fee.

PHOTOGRAPH USAGE & MARKETING

  • Pose A Paw may use select portraits for studio portfolios, printed materials, exhibits, competitions, and online presence, including social media.

  • All photographs remain the copyrighted property of the photographer, including when digital files or negatives are purchased.

  • The studio retains the right to use portraits for commercial purposes, with sensitivity to privacy and without compromising the subject’s dignity or image.

  • Clients may not use portraits for commercial, editorial, or third-party purposes without written permission.

PRIVACY

Client personal information is stored securely and never shared with third parties.
